Our Full Planning & Design service is an all-encompassing experience for couples who want a seamless, expertly curated wedding from start to finish. This package includes unlimited planning sessions and email support, access to our luxury online planning dashboard, full budget proposal and management, and personalized vendor recommendations across all categories—plus assistance with booking, management, and ongoing communication. We handle every detail, from hotel block coordination and transportation logistics to custom invitation design, RSVP management, and wedding website creation. Our team provides comprehensive design curation, final rental confirmations, timeline and layout creation for all weekend events, and two venue walkthroughs per event. You’ll benefit from access to our trusted vendor network, full staffing throughout the weekend, rehearsal coordination, and a dedicated liaison managing logistics with your vendor team. With a limited number of weddings accepted annually, our clients receive our undivided attention, elevated service, and flawless execution across every element of the wedding weekend. Couples who choose this package typically invest $100,000 or more into their wedding celebration, but it is not a requirement.

Our Full Planning & Design fee is 18% of your overall wedding weekend budget, with an $18,000 minimum investment.

This fee covers the planning, design, management, and execution of your wedding experience, allowing our team to guide you from the earliest ideas through the final moments of your celebration.

When you work with Wedding Company of Williamsburg, you aren't simply hiring one planner—you have an entire team behind your wedding weekend.

Your Lead Planner oversees logistics, timelines, and the planning of your wedding and surrounding events. Our Design Team focuses on the visual experience, including tabletop selections, linens, stationery, florals, lighting, draping, welcome details, and the many layers that bring your celebration to life.

Our Client Experience Manager works alongside both teams, assisting with vendor booking, payment reminders, communication, and the behind-the-scenes details that keep your planning experience organized and seamless.

It is intentionally collaborative, giving you specialists in each area while maintaining one cohesive vision throughout the process.

Design Phase One — The Vision Following the signing of your agreement, we begin by creating your overall wedding weekend design concept alongside a comprehensive estimated budget. You'll see real pricing, vendor recommendations, design options, and varying price points so you can understand both the vision and investment from the beginning.
Design Phase Two — The Details Next, we visit our rental and design partners to begin selecting the tangible pieces of your celebration. We coordinate tabletop selections, linens, furniture, layouts, florals, stationery, and other design elements with the vendors we've secured.
Design Phase Three — The Final Design Every element comes together. We finalize your wedding weekend stationery and remaining design selections and create detailed renderings and internal design packets so our entire team and vendor partners understand exactly how the celebration should look and feel.
Design Phase Four — The Execution It's wedding weekend! Our team takes everything we've created together and brings it to life, overseeing the design installation and execution so you can experience your celebration as a guest rather than managing it.

Absolutely. Our concierge experience extends to your guests, too.

Guests may contact our team directly for assistance with local dinner reservations, airport transfers, childcare recommendations, transportation resources, and other needs surrounding their stay.

Restaurant recommendations and reservation assistance are complimentary. Guest concierge services that require additional planning, booking, coordination, or management are subject to an 18% production and management fee.

Of course! We have relationships with local hotels and can assist with securing room blocks and preferred rates for your guests.

We'll also help you navigate options with and without attrition and recommend properties based on your wedding location, guest experience, budget, and overall weekend plans.

One of the things that makes our Full Planning & Design experience different is that you aren't relying on just one person throughout the process—you have a team.

Your initial design direction, budget development, and vendor recommendations are handled by our Design and Client Experience teams.

Your Lead Planner joins you approximately six months before your wedding and becomes deeply involved in your wedding-day logistics, timelines, and coordination with vendors outside of the design experience.

Behind the scenes, our entire team remains connected throughout the process so your planning and design never feel disconnected from one another.

Yes. We don't believe you should pay a planning percentage on personal purchases that don't require our team's planning or management.

Items such as personal attire, personal travel and accommodations, gifts for parents or the wedding party, and small personal gifts purchased independently of our team are excluded from the percentage calculation.

Our planning fee itself is also not included when calculating the overall wedding budget used to determine the 18% fee.

After more than 15 years of planning weddings, we've built relationships with an incredible network of wedding professionals throughout Virginia.

We don't believe vendor recommendations should be one-size-fits-all. From the beginning, we take time to understand your priorities, personality, aesthetic, and budget before recommending vendors.

Our recommendations are intentionally curated for your celebration based on the experience, style, service, and investment level you're looking for.

Yes! We have a number of affiliate and industry partnerships that provide additional value to our couples.

Depending on the partner, this may include preferred pricing, special services, upgrades, or exclusive benefits available because you're working with Wedding Company of Williamsburg.

Partners such as Generation Tux, wedding insurance providers, and Minted are just a few examples, and you'll receive access to applicable benefits from the beginning of the planning process.

We use Aisle Planner, an online planning platform that becomes the central home for your wedding.

It allows us to manage your budget, contracts, vendor information, checklists, guest list, RSVPs, timelines, and other important planning details in one place.

It also allows our entire team to remain connected behind the scenes. When appropriate, we can provide full or limited access to family members, vendors, or other planning partners involved in your celebration.

Because you have a full team, some meetings may be with an individual team member based on what we're working on at that stage of planning, while others will bring multiple members of your team together.

Most meetings take place Monday through Thursday during business hours, but we understand that doesn't work for everyone. When our schedule allows, evening and select weekend appointments are available as well.

While there are key meetings and milestones built into our process, Full Planning & Design clients have unlimited meeting access to their planning team throughout the planning experience.

Whatever works best for you!

Email is our primary method for keeping important planning information organized, but we're also happy to communicate via text and can incorporate Voxer when helpful.

Every couple communicates differently, and part of providing a concierge experience is creating a planning process that works for you.

Absolutely.

Every family dynamic is different, so early in the planning process we'll establish who should be involved, what everyone's roles will be, and how you'd like us to communicate with parents or other important family members.

Our goal is to make everyone feel informed and cared for while ensuring that you remain comfortable with the planning process and decisions being made.

Yes! Our team can coordinate and assemble welcome bags for your guests.

You'll arrange for the items to be delivered to your selected hotel, and our team will assemble the bags during wedding week.

We do require the hotel to provide an appropriate space for assembly. Any fees charged by the hotel for the use of that space would be the client's responsibility.

Yes—and we love when we get to!

Our Full Planning & Design service can extend beyond the wedding day to create a cohesive experience throughout your entire wedding weekend, including the rehearsal dinner, welcome party, wedding day, farewell brunch, and other hosted events.

Our 18% planning fee is calculated based on the applicable budget for the full weekend of events we're planning and designing.

This allows us to think about your celebration as one complete guest experience from arrival through farewell.

Absolutely. While Wedding Company of Williamsburg is based in Williamsburg, Virginia, our team plans and designs celebrations throughout Virginia.

We regularly serve Williamsburg, Charlottesville, Coastal Virginia, and Virginia's Eastern Shore, and we're happy to travel to bring our signature Southern hospitality and concierge planning experience to your venue.

To reserve your date and begin planning, 50% of our $18,000 minimum planning fee is due at signing.

From there, your remaining planning fee is divided into payments approximately every three months and initially based on the estimated wedding budget we establish together.

Because wedding budgets naturally evolve throughout the planning process, your planning fee and future invoices may adjust accordingly as the scope and overall investment change.

Credit card payments are subject to a 3% processing fee, while bank transfer payments have no additional processing fee.
